Luna Switch for estate agencies

Your agency
runs on memory.

Deposits that must earn interest. VAT that mustn't be charged. A disclosure form that voids your commission if it's missing, and an FFC that expires on 31 October. Luna Switch carries it for you. Rentals invoiced in one run, applications assessed the moment they arrive, sales captured properly, and compliance on a register that nags you before it's late.

The Luna Switch invoicing view for an estate agency: one run raises the month's invoices for every active lease, with VAT shown as exempt for residential rent
Rentals

The month runs itself.

Leases, deposits, invoicing and statements, handled the way the law expects, without anyone having to remember it.

Leases & deposits

Rent, escalation, term and the day rent falls due. Deposits are held and reported the way the Rental Housing Act requires: interest-bearing, interest to the tenant, written proof given.

One invoicing run

One run raises the month's invoices across every active lease. Nothing is billed twice, and the residential VAT exemption is applied for you rather than left to be remembered.

Owner statements

What came in, what was spent, commission, and what is due to the owner. Produced in a run and waiting in the landlord's own portal.

Tenant statements

Every charge and every receipt, newest first, with a running balance. The tenant downloads it as a PDF themselves, so that's one less call to your office.

Repairs

Routed by who actually decides

A tenant reports a fault in their portal, with photos, and it reaches you with the address already attached. No phone call, and they get a reference.

  • Each property records who maintains it: the agency, or the owner in their personal capacity
  • Agency-maintained: you handle it and quote where needed
  • Owner-maintained: it goes to the landlord to approve, price or decline
  • Jobs waiting on an owner are flagged when they go stale, so nothing sits unanswered
A maintenance job in Luna Switch: a geyser replacement reported by the tenant, waiting on the owner, with the owner's go-ahead being recorded
A rental application in Luna Switch opening with its assessment finding: affordability comfortable at 23% of income, with what has and hasn't been verified spelled out
Applications

Assessed before you read them

Every application opens with a finding at the top: is it valid, and how healthy are its chances. The band only ever moves down as problems are found, so a strong headline can never hide a gap underneath it.

  • Bureau checks recorded with the applicant's consent captured first, and the required notice produced when a decision goes against them
  • Self-employed applicants assessed on trading history and real income. A freelancer is never asked for an employer's letter
  • Documents uploaded by the applicant, read by Luna AI, checked off against what's outstanding
  • Decline reasons are checked against the Equality Act's prohibited grounds before they can be sent
Sales

Built for the sales that break simpler systems.

Residential and commercial, captured with the hard cases handled rather than hoped away.

Any buyer

Two applicants, a company, a trust, a mix. Each party is captured in their own right, with shares that have to add up before the deal can proceed.

Duty & VAT, done right

Transfer duty on the SARS sliding scale, or zero-rating where the sale is a going concern. Luna won't guess whether the seller is a VAT vendor. It asks, and says so until someone answers.

The paperwork that bites

The mandatory disclosure form is tracked, because without it the agreement is unenforceable and no commission is payable. Spousal consent is captured where the marriage regime requires it.

Compliance

A register, not a memory

One page shows what is valid, what is expiring, what has expired and what was never there. Most pressing first, with anything missing ranked above anything merely urgent.

  • Fidelity Fund Certificates for the firm and every practitioner, with the 31 October renewal tracked
  • Trust account audit, due four months after year end
  • FICA: due diligence, beneficial ownership, and the five-year retention period
  • Mandates and their disclosure documents
  • Email reminders that tighten as a deadline approaches, and keep nagging weekly once something has expired
The Luna Switch compliance register: ten items not on file yet, ranked worst first, from the firm's FFC to FICA files per client
The landlord portal's PIN gate: a code is sent to the owner's phone before their statements open
The tenant portal in dark mode: rent due, the trust-account payment reference, and a full statement with running balance
Portals

Three portals. No logins to manage.

Tenants, landlords and applicants each get a private link with a PIN sent to the phone number on file. No accounts, no passwords to reset. Only a hash of the link is ever stored, so it can't be recovered from the database by anybody.

  • Tenants: what's due, their statement and deposit, a PDF download, and fault reporting with photos
  • Landlords: statements, what's due to them, and repairs to approve, price or decline
  • Applicants: sign consent, upload documents, see what's still outstanding
  • Follows the phone's light or dark setting automatically, and every screen stays easy to read in both
Luna AI

Luna AI helps. People decide.

It helps where that saves real time, and never where it should be making the decision.

Faults, triaged

Luna AI reads a reported fault and suggests an urgency. It can raise what a tenant chose, but never lower it.

Reports, read in

Credit reports are read into the screening form so figures aren't retyped. Luna AI will not pre-fill an adverse outcome. A person has to enter that.

Letters, drafted

Arrears letters and decline reasons drafted in your agency's voice, then checked before sending: no threats, no figure that doesn't match the ledger, no prohibited ground.
